Wedding DAY LOGISTICS

  • Arrival time to the Farm on the wedding day is 1pm for the wedding party and any vendors.

    All set up and day-of deliveries need to occur between 1-3pm to ensure that we have enough time to get items where they need to go before the ceremony starts. This includes vendor arrivals, which cannot happen until 1pm! Please make sure all decor is unwrapped and assembled, ready to be placed out.

    Most vendors will have arranged prepayment but if there are any that haven’t, you’re welcome to give their checks to Kristin at the rehearsal to hand out on the wedding day. You should also bring all checks for Cultivate Catering and the Bartenders - Ginger will send you the details of how much is owed.

    Your day-of-coordinator and catering staff set your welcome tables, chairs for your ceremony, dinner tables and put out any favors, table numbers, menus, etc. Please contact Kristen to get a clearer picture of what she manages. If you have a lot of DIY decor or are hiring several vendors who have never been to the farm, she will need an assistant.

    Transportation: All buses need to arrive at 3:30. It’s mosi deal to give the transport company a contact number for someone in the wedding party - as well as Kristen’s cell.

    Rentals. Unless you are using our local rental company RiverHood Rentals, all rentals need to be dropped off and picked up the day of the wedding.

    Music. We highly recommend the use of a DJ or wedding band from our Vendor List. Since they are familiar with how things flow at the Farm, they do an amazing job helping everything run smoothly. Your DJ or Band will need to supply an extra PA system for the ceremony site, as well as extra microphones if needed. The Farm does not have any onsite PA equipment.

    Electricity. Electricity is available in all areas of the farm for things like musicians, photo buses, ice cream trucks, etc.

    Navigation Tip. GPS can get confused on the farm road so let them know the road dead ends into the farm. The best place to check in once they arrive on-site is at the Apple House which is all the way down the main driveway around the main parking area barricades.

  • It’s best to arrive with hair and make-up done and the wedding party fully dressed; with only the Bride and Groom getting dressed onsite.

    There are steamers and potable water available in the cottage for your convenience.

    The Bride and Groom getting ready cottages can hold up to 8 people each and need to be cleared out with all belongings in the mudroom by 5pm. (Earlier for larger wedding parties). The back door will remain open for the Bride to use the restroom or dress change until 9pm.

  • The ceremony time is 4 o’clock. Guests are asked to arrive no earlier than 3:30pm. It is important to clarify your ceremony time on your invitations. If your guests arrive too early, we will not be ready to host them!

    It’s important that you list the names and numbers of your officiant and music suppliers on your questionnaire - if they are not on time, Kristen will need a sure way to contact them.

  • The Farm has tables and chairs for 175. We have 25 round tables that are 60” and and a few 6’ rectangular tables that can be used for a sweetheart or head table. We use the rectangular tables for the Pond Bar (5 tables used) and various service tables like for your DJ or favors. Talk to me about special needs such as a table at the ceremony for a ritual, programs, etc. We have a few smaller ones that can be used as well.

    If you choose to have a specialty cocktail, this is only served during the cocktail time. Beer and wine is served throughout the event. Please let Ginger know what drink you are thinking about so she can rent an appropriate cocktail glass. If you are having a specialty cocktail, it is your responsibility to bring any mixers like soda water, juice.., alcohol and fruit for the garnish. The bartenders will cut your garnish, but you must supply it. Ginger can often get great garnish fruit and berries and she can also do things like simple syrup, so talk to her about your drink ideas.

  • We will have all your décor and leftover beer + wine packed and ready to load at the Apple House by 10pm, and everything must be cleared out by 10:45 pm night-of. You need to designate helpers to pull around and load it up at that time. Everything you bring on the property needs to leave with you at the end of the night, including boxes and other packaging used for transporting items like dessert and décor items; we do not have a dumpster or trash receptacle on the property. The bartender will recycle your wine bottles and Ginger takes all food-related trash.

Our MHOF Wedding Day Timeline has been tested through and through. We recommend you trust in the proven flow of events not deviate significantly — this includes any third party vendors. Due to county restrictions, events must end by 10pm and clean up complete by 10:45pm.

*The Apple House is the only place that allows for comfortable dancing with the temperature controls.

Rehearsal

Rehearsal of the ceremony is held on the Friday before your wedding MHOF. It is a working farm day, so only the wedding party and parents will be allowed to attend the rehearsal.

Your rehearsal is expected to take 45-60 minutes. You will meet at the entrance to the Farm, go through your ceremony, then bring your items around to the Apple House.

There is only 1 hour allotted so if folks are running late, Kristen will still need to start on time.

All decor, alcohol and wine should be delivered at your rehearsal.
